Know what your front desk did — and why.
Most tools tell you how many bookings you got. Clinic Agent also tells you which conversations didn’t book, which of those were on the agent versus out of your hands, and what to do about it — from a whole-clinic view down to a single patient’s history.

The overview
Your last 30 days, in five numbers.
The dashboard opens on the numbers a clinic owner actually cares about: bookings, conversion rate, no-show rate, rescued calls and estimated revenue — each shown against the previous 30 days so you can see the direction of travel at a glance.
Underneath sit a daily bookings trend and a channel breakdown, plus a plain-English note on what each number means. A freshness indicator tells you when the figures last updated, and you can refresh them on demand.

Failure attribution
Who lost the booking — and could you have won it?
This is the part other dashboards don’t have. For every conversation that didn’t end in a booking, the agent sorts it into recoverable — something the agent could have handled better — versus outside your control, like a patient who was only ever price-checking.
Each lost conversation carries a reason, tagged “agent” or “external,” a confidence score, and a review flag when it’s worth a human look. The agent-vs-external verdict comes from a fixed taxonomy in your records — it’s never just taken on the model’s word — so the split you act on is trustworthy.
19% were recoverable — worth a second look.

Volume & busiest times
Interactions and bookings over time, plus a day-of-week × hour heatmap and your best-converting hours.
By channel
Volume, share, bookings and conversion for web, SMS, WhatsApp and voice, side by side.
Patient sentiment
The sentiment mix, and whether unhappy conversations actually cost you bookings.
Who lost the bookings
The recoverable-vs-external split over time, with separate worklists for each so you know where to focus.
Why calls didn’t book
A ranked list of failure reasons, average confidence, and how many conversations need a review.
Lost calls worklist
Every non-booked conversation with a de-identified reason and access to the transcript when you need it.
Per-patient history
Zoom all the way in to one person.
Open any patient and you get their whole story: a twelve-month visit chart split into completed, no-show and cancelled, plus their attendance record and how often they tend to come back.
You’ll also see how they book — how far ahead, their usual doctor and service, and whether they booked through the agent or a staff member — along with their engagement across channels and, when your services are priced, an estimate of what they’ve spent.
Rates are only shown once there’s enough history to be meaningful, so a single visit never turns into a misleading percentage.
Reads itself for you
The numbers, already turned into “what to do first.”
Morning insights
A short panel that synthesises your booking attribution, escalation urgency and revenue trend into a few bullets — the things worth seeing first, with numbers never invented.
Conversation summaries
Every conversation gets an AI summary through the lens of the page you’re on. Opening the raw transcript is separately gated and audited, so PHI stays protected.
Escalation digest
Out of hours, waiting escalations are batched into a single “N waiting” note instead of a flood of pings.
Take it with you
Export exactly what you’re looking at.
Any drill-down exports to CSV with the same filters you’ve applied, so the file matches the view. The rows are de-identified — outcome, reason, channel, sentiment and confidence, no transcripts and no PHI. Exports are admin-only, rate-limited and audited.
For a single patient there’s a separate data-subject export, alongside anonymise and erase — the tools a HIPAA clinic needs to answer a records request.
Matches your current filters — no transcripts, no PHI.
